How it works
From first contact to a cooler home.
Here's exactly how it works.
No surprises. No pressure. No day-of scope changes. Here's the process, step by step.
The CoolHouse Co. process
- 01Step 1
You Submit a Request
You fill out our short estimate request form — ZIP code, what you're interested in, and the best way to reach you. Takes about 90 seconds. We'll send an email confirmation and follow up within 1 business hour (Monday–Saturday, 8 AM–6 PM). If we miss your timing window, we follow up first thing the next morning.
What we'll ask you: home size, number of stories, and the rooms that bother you most. This helps us come prepared for the visit.
- 02Step 2
We Schedule Your Free In-Home Assessment
Most Bay Area homeowners are scheduled within 2–5 business days. We send a confirmation email 24 hours before the visit and a reminder the morning of. The assessment takes 60–90 minutes. If something comes up and you need to reschedule, just reply to the confirmation email.
What to expect: a two-person crew (usually the same people who would do the installation), measuring tape, and a lot of questions about which rooms bother you the most and when.
- 03Step 3
We Walk Your Home
We start outside — looking at your home's sun exposure, which elevations take the most direct sun, and at what hours. This tells us which windows are your primary heat sources and which solar screens will make the biggest impact. Inside, we walk the floor plan. We look at airflow patterns, identify the hottest rooms, check attic access, inspect the existing attic ventilation, and measure for whole house fan installation. For most homes, this takes 30–45 minutes.
We ask: which rooms bother you the most? When is the house at its worst? Have you noticed patterns — hot nights, one floor that's much worse, a specific room that's always 10 degrees hotter?
- 04Step 4
You Get a Written Quote Before We Leave
We sit down at your kitchen table (or wherever is comfortable), put together the quote, and walk you through it before we leave. The quote includes: exact products and models recommended, price per item and total installed cost, any permit fees that apply, timeline for scheduling installation, and what's covered by warranty. You'll have everything in writing. We don't quote verbally and expect you to remember.
- 05Step 5
You Decide — On Your Own Timeline
If you want to move forward, we schedule the installation. If you want to think it over, take your time. We follow up once, politely, within a few days. We don't hound you with daily calls. The written quote doesn't expire — and if material costs change between your estimate and your installation date, we'll discuss it with you before it affects your price.
- 06Step 6
Installation Day
Our crew arrives with all equipment. The installation typically takes 4–8 hours depending on what's being installed. For a whole house fan install: we cut the ceiling opening, install and brace the fan unit, connect it to the attic, verify attic ventilation adequacy, wire the wall switch or smart control, test at all speeds, and clean up completely. For solar screens: we measure final dimensions for any custom adjustments, install each screen, test fit and alignment, and confirm proper clip attachment for seasonal removal if desired. For both: we coordinate the sequence so everything is done in a single day.
- 07Step 7
Walkthrough and You're Done
Before we leave, we walk you through both systems — how to operate each one, when to use them, how to get the most out of them, and what to do (and not do) on smoke days or extreme heat days. You get a copy of the warranty documentation and our direct contact information. That evening, when the outdoor temperature drops, you open a few windows, turn on the fan, and feel the difference.
Quick questions about the process
Is the estimate really free?
Yes. There's no fee for the assessment, no fee for the written quote, and no obligation to move forward. It's genuinely informational.
Will someone pressure me during the visit?
No. We made a deliberate decision not to operate that way. The visit is for gathering information and giving you honest recommendations. If we come and determine our products aren't the right fit, we'll tell you that.
How long between estimate approval and installation?
Most installations are scheduled within 5–10 business days of estimate approval. During peak season (April–June), lead times may extend slightly.
What if I have a problem after the installation?
Call or text us directly. We warranty our workmanship and stand behind the equipment. Problems are rare, but when they happen, we show up.
